Grants Coordinator

McKendree University, located in Lebanon, IL, invites applicants for the position of Grants Coordinator. This is an on-campus, full-time position and is eligible for a competitive compensation and benefits package.

The Grants Coordinator is responsible for providing direct, full service administrative, budget, and business support to campus constituents submitting proposals for contract and grant funding.

The incumbent will provide primary fiscal support for grants, including assistance with financial analysis and assisting with development, implementation, monitoring and reporting functions to assure accurate and consistent recording and reporting of budget and fiscal reports. This position is responsible for assisting with the preparation of budgets and fiscal reports for specific grants, assisting with preparation of financial data and student data, and working with various campus partners to provide technical assistance and resolve issues related to budgets and planning. Assists with data gathering for analysis and reconciliation, as required.

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Serve as primary point of contact for proposals, submissions, budgets, and complete life-cycle grant support.
  • Provide pre-award proposal support, including funding announcement review, preparing budgets and budget justifications in compliance with funding opportunity announcement, compiling and preparing proposal documents in compliance with funding opportunity announcement, routing proposal for approval, and entering proposal in sponsor's system of submission.
  • Manage post-award compliance including interpreting, documenting and assisting with the legal and financial requirements of grants and contracts awarded to the institution.
  • Prepares internal monthly budget status reports to maintain up-to-date information regarding grant spending by budget line item.
  • Assists with the gathering of data, as required, for audits and the filing of quarterly fiscal and programmatic reports with federal funding agencies (e.g., US Department of Labor, US Department of Education).
  • Analyzes reports and back-up documentation from grant partners to ensure accuracy and completeness; works with grant partners, as needed, to supplement information collected or resolve any issues; compiles quarterly reports.
  • Assists with the development of other financial reports and summaries of financial data, as required.
  • Maintains accurate year-to-date budget information regarding the overall grant; monitors invoices to ensure payment has been made and tracked.
  • Works with Administration and Finance to ensure that grant funding has been received and recorded properly.
  • Monitors individual partner Memoranda of Understanding, Sub-recipient Agreements and/or Contracts to ensure spending is consistent with requirements and deliverables.
  • Performs other related duties as assigned.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Strong verbal and written communication skills, attention to detail, basic organizational and analytical skills along with the ability to manage multiple assignments under time deadlines, and a commitment to exemplary customer service skills are required.
  • Proficiency in word processing, spreadsheet and database management software applications.
  • Self-motivated individual driven by challenge with the ability to work independently with a high degree of reliability, accuracy and productivity.
  • Knowledge of regulatory guidance of federal and state grants and contracts. Ability to read, comprehend, analyze and communicate complex funding agency regulations and requirements, grant eligibility and program specifications in an effective, easy to understand manner.

REQUIRED QUALIFICATIONS:

  • Bachelor’s degree in a related field.
  • Experience in pre-award and post-award grants administration, particularly in preparing and submitting proposals to sponsor agencies.
  • Experience in grant accounting.

PREFERRED QUALIFICATIONS:

  • Experience in higher education and/or government budgeting.

WORK HOURS/CONDITIONS:

Office environment; 40 hours per week; normally 8:00 a.m.-5:00 p.m.; occasional evening meetings; attendance at regional and state meetings, as required.
